Capabilities

What the Basic edition does

Raise, approve and issue purchase orders with a revision history that never overwrites itself, print them the way suppliers expect, and follow them through 4+ focused PO reports.

Draft Then Issue

Prepare a purchase order as an internal draft, print it clearly marked NOT ISSUED for approval, then issue the final document once it is signed off.

Controlled Revision Family

Amendment, Enhancement, Additional PO and a terminal Cancellation all sit as revisions inside the same PO family, so earlier issued versions are preserved and the current effective version can be compared against the proposed one.

Supplier Ready PO Print

Print the original, draft, any revision or the cancelled version with your company header, commercial terms, billing and delivery locations, tax summary, amount in words and an optional stored signatory, to PDF or Excel.

Masters That Stay Consistent

Party, location, tax registration, contact, item group, unit, item and commercial terms masters, plus your own PO prefix and number series and an authorised signatory master.

Four Focused PO Reports

PO register in detail and summary, PO validity expired and PO price history, filtered by period, supplier or item and exported to PDF or Excel.

Shared LAN Database

One MS Access backend on your network serves every authorised operator, with built in backup, compact and repair, and index maintenance.

FAQ

Frequently asked questions

What is the Basic edition of Purchase Order Management Software?

It is a Windows Excel application for teams whose job is raising and controlling purchase orders. Prepare a PO as a draft, print it marked NOT ISSUED for approval, issue it, then make later changes through Amendment, Enhancement or Additional PO revisions inside the same PO family. It includes professional PO printing, the full master set and 4+ focused PO reports.

What is the difference between the Basic and Pro editions?

Basic covers PO creation, the revision lifecycle, printing, masters and 4+ PO reports. Pro adds everything downstream: supplier invoice and challan entry against issued POs, material returns tied to the originating bill, invoice and challan reconciliation, opening PO migration, and a 25+ report management pack with pending, exception and audit analysis. Use the comparison table on this page to see it feature by feature.

Can I start with Basic and move to Pro later?

Yes. If you already own a Basic key, the Pro edition is offered at the difference in price rather than the full price, so you are never charged twice for the same capability. Basic LAN clients upgrade the same way, for the difference per PC, once your main copy is on Pro.

Can several people use it on our office network?

Yes. Your main copy keeps the shared MS Access database on the network, and every additional PC runs a LAN client: the complete Basic edition, pointed at that same database, at a lower flat price per PC. A LAN client needs a main copy of the same edition, already licensed to you or bought in the same order.

What happens to history when a PO is amended or cancelled?

Nothing is overwritten. Each change is a new revision inside the same PO family, and cancellation is a terminal revision rather than a deletion, so the cancelled PO stays traceable and prints with its own identity.

What reports does the Basic edition include?

Four: PO register in detail, PO register in summary, PO validity expired and PO price history. Each can be filtered by period, supplier or item and exported to PDF or Excel. The Pro edition carries 25+ reports.

Is it a one-time purchase or a subscription?

A one-time purchase, a single-PC perpetual license. Pay once and use it forever; there is no subscription.

What are the requirements and licensing?

Windows with Microsoft Office, and MS Access for the shared database. A single-PC perpetual license that works fully offline after a one-time activation.
